Onboarding Checklist for New Companies
This guide walks you through every step needed to get your Atlock account fully operational. Follow this checklist in order for the smoothest setup experience.
Phase 1: Account & Company Setup

1. Complete Company Profile
- [ ] Set company name, logo, and contact information.
- [ ] Configure timezone, date format, and locale.
- [ ] Add your company address.
- Where: Settings > Profile
2. Configure Operational Defaults
- [ ] Set default shift duration.
- [ ] Configure early clock-in window and late thresholds.
- [ ] Set default geofence radius.
- Where: Settings > General
3. Set Up Notification Preferences
- [ ] Enable panic alert notifications (always on).
- [ ] Configure geofence breach alerts.
- [ ] Set up missed clock-in notifications.
- [ ] Choose email vs. push vs. in-app for each alert type.

Phase 2: Team & Roles
4. Create Custom Roles (if needed)
- [ ] Review default roles (Admin, Supervisor, Guard, Dispatcher).
- [ ] Create custom roles for your organization (e.g., Site Manager, Scheduler).
- [ ] Assign granular permissions to each role.
- Where: Team > Access Control > Roles
5. Invite Your Team
- [ ] Invite Company Admins and Supervisors first.
- [ ] Invite Guards (individual or bulk CSV upload).
- [ ] Verify all invitations are accepted.

6. Organize Teams
- [ ] Create team groups (e.g., Day Shift Team, Night Shift Team, Mobile Patrol).
- [ ] Assign guards to teams.
- Where: Team > Teams
Phase 3: Sites & Locations
7. Create Your Sites
- [ ] Add each physical location as a site.
- [ ] Set site address and coordinates.
- [ ] Upload site-specific documents (maps, emergency procedures).
- Where: Operations > Sites
8. Configure Geofences
- [ ] Draw geofence boundaries for each site on the map.
- [ ] Set the geofence radius (or use custom polygon).
- [ ] Test by checking the boundary on the preview map.
- Where: Sites > [Site Name] > Geofence tab
9. Set Up Checkpoints
- [ ] Create patrol checkpoints within each site.
- [ ] If using NFC, register NFC tags and assign to checkpoints.
- [ ] Print and install NFC tags at physical locations.
- Where: Sites > [Site Name] > Checkpoints, or Operations > Patrols
10. Create Zones & Regions
- [ ] Group sites into geographic zones or regions.
- [ ] This helps with reporting and scheduling across multiple locations.

Phase 4: Scheduling
11. Create Shift Templates
- [ ] Set up recurring shift patterns (day, night, weekend).
- [ ] Configure break times within shifts.
- Where: Operations > Scheduling > Templates
12. Create Your First Schedule
- [ ] Open the scheduling calendar.
- [ ] Create shifts and assign guards.
- [ ] Publish the schedule so guards can see it.
- Where: Operations > Scheduling
Phase 5: Operations Setup
13. Create Post Orders
- [ ] Write standing orders for each site.
- [ ] Assign post orders to the correct sites.
- Where: Field Management > Post Orders
14. Set Up Patrol Routes
- [ ] Create patrol routes linking checkpoints.
- [ ] Assign routes to shifts or guards.
- Where: Operations > Patrol Manager
15. Configure Checklists
- [ ] Create daily safety checklists.
- [ ] Assign checklists to sites or shifts.
- Where: Compliance > Checklists
16. Set Up Report Types
- [ ] Review default report types (Daily Activity, Incident, etc.).
- [ ] Create custom report types if needed.

Phase 6: Advanced Features (Optional)
17. Vehicle Fleet
- [ ] Add vehicles to the fleet manager.
- [ ] Set up maintenance schedules.
- Where: Facility & Fleet > Vehicle Manager
18. Equipment Inventory
- [ ] Add equipment items.
- [ ] Assign to guards or sites.
- Where: Assets > Equipment
19. Visitor Management
- [ ] Configure visitor check-in settings.
- [ ] Set up watchlists.

20. Compliance & Training
- [ ] Set up training modules.
- [ ] Configure certification tracking.

Phase 7: Go Live
21. Test the Guard Experience
- [ ] Download the Atlock Guard mobile app.
- [ ] Log in as a test guard.
- [ ] Complete a test clock-in, patrol, and report.
- [ ] Verify data appears in the admin dashboard.
22. Brief Your Team
- [ ] Share login instructions with all users.
- [ ] Walk supervisors through the admin dashboard.
- [ ] Ensure guards know how to use the mobile app.
23. Go Live!
- [ ] Publish the first week's schedule.
- [ ] Monitor the Activity Terminal for live events.
- [ ] Review the first day's data in Analytics.
Tips
- Don't rush — Take a day to set up Phases 1-3 before inviting guards.
- Start small — Launch with one site first, then expand once the workflow is proven.
- Use the command palette (`Ctrl/Cmd + K`) to quickly jump between setup pages.
