Reviewing Exceptions and Approving Time in Attforce
Before time records are approved, managers should review exceptions. This keeps payroll exports cleaner, helps teams catch coverage problems, and creates a reliable record of each shift.
What Is an Exception?
An exception is anything that needs manager attention before a shift is fully approved.
Common exceptions include:
- Late clock-in.
- Early clock-out.
- Missed clock-in or missed clock-out.
- Long or missing break.
- No-show.
- Shift worked outside the scheduled time.
- Incomplete required tasks.
- Missing work notes.
- Issue report submitted during the shift.
Daily Review Workflow
Managers should review exceptions every day when possible.
A simple workflow is:
- Open the manager dashboard.
- Review active and completed shifts.
- Check time exceptions first.
- Review incomplete tasks and issue reports.
- Add manager notes where context is needed.
- Correct time records only when appropriate.
- Approve clean records for export or reporting.
When to Add Manager Notes
Manager notes help explain why a record was changed or approved.
Add notes when:
- A clock-in or clock-out was corrected.
- An employee reported a valid reason for being late.
- A task was skipped with approval.
- A shift was reassigned at the last minute.
- A client or supervisor requested follow-up.
Good notes should be short, factual, and easy to understand later.
Approving Time
Only approve time after reviewing the full shift record. That includes attendance, breaks, tasks, work logs, issue reports, and any manager notes.
Before approving, confirm that:
- The employee worked the expected shift.
- Time entries are accurate.
- Break records look correct.
- Required tasks are complete or explained.
- Any issue reports have been reviewed.
- Follow-up items are assigned if needed.
Payroll Export Preparation
Attforce is designed to help teams prepare approved time records for payroll or accounting review. The goal is to export cleaner records with fewer missing details and fewer last-minute corrections.
