Reading Post Orders and Policies
Post orders are standing instructions specific to your site — they tell you exactly how to handle situations, what procedures to follow, and what's expected during your shift. Policies are company-wide rules that apply to all guards at every site. Both require your acknowledgement to confirm you've read and understood them.
Why Post Orders Matter

- Consistency — post orders ensure every guard handles situations the same way, regardless of experience level.
- Compliance — acknowledging post orders creates a documented record that you've been informed of procedures.
- Protection — following post orders protects you legally. If an incident occurs and you followed the documented procedure, you're covered.
Accessing Post Orders
- Tap the More tab at the bottom of the screen.
- Tap "Post Orders" (Scroll Text icon, blue).
- The Post Orders screen loads.
Understanding the Post Orders Screen
Summary Cards
Three cards at the top give you a quick status overview:
- Pending (orange) — documents you still need to read and acknowledge. These require your action.
- Acknowledged (green) — documents you've already read and signed off on.
- Total — the total number of post orders and policies available.
Requires Acknowledgment Section
This section lists documents that need your attention:
- Each entry shows a file icon, document name, and a "Pending" badge (orange with clock icon).
- Site name — which site the post order applies to.
- Version number — post orders can be updated; the version tells you if you're reading the latest.
- Category — the type of document.
- Two buttons:
- "View" — opens the full document for reading.
- "Acknowledge" (blue) — sign off after reading.
Acknowledged Section
Documents you've already completed:
- Each shows a green file icon with the document name.
- A green checkmark badge with the version number.
- A "View" button to re-read anytime.
Acknowledging a Post Order
- Tap "View" to open the full document.
- Read the entire document carefully. Don't just skim — you're confirming you understand the contents.
- When you've finished reading, tap "Acknowledge."
- A confirmation dialog appears:
- "I confirm that I have read and understand '[Document Name].'"
- Tap "Acknowledge" to confirm your sign-off.
- A success message appears: "Post order acknowledged."
- The document moves to the Acknowledged section.
Accessing Company Policies
Policies are broader, company-wide documents (as opposed to site-specific post orders):
- Tap "Orders & Policies" or "Policies" from the More menu.
- You'll see two tabs:
- To Review — policies that need your acknowledgement.
- Acknowledged — policies you've already signed off on.
- Each document shows its category, title, version, and last updated date.
Acknowledging Company Policies
Policies often require a more formal acknowledgement with a digital signature:
- Tap "View" to open and read the full policy.
- Read the entire document thoroughly.
- Tap "Acknowledge & Sign."
- Enter your full name as a digital signature, or use the signature pad to sign with your finger.
- Tap "Confirm" to submit your acknowledgement.
- Your signature and timestamp are recorded permanently.
What Happens When Post Orders Are Updated
Post orders can be revised by your admin at any time. When a new version is published:
- The updated document appears in your Requires Acknowledgment section with a new version number.
- Your previous acknowledgement of the old version is still on record, but you need to read and acknowledge the new version too.
- You'll typically receive a notification when an important post order is updated.
Tips
- Read carefully before acknowledging — your acknowledgement is a legally documented confirmation that you understand the content. Take it seriously.
- Check for new and updated post orders regularly — your admin may issue new instructions at any time, especially after incidents or policy changes.
- Review site post orders before each shift — especially when working at a new or unfamiliar site. Every site may have different procedures.
- Pay special attention to emergency procedures — fire evacuation routes, medical emergency protocols, and escalation contacts in post orders could save lives.
- Re-read after a long absence — if you've been away from a site for several weeks, review the post orders again. Things may have changed.
- Ask questions if something is unclear — it's better to clarify a procedure with your supervisor than to guess and get it wrong.
