Managing Visitor Access Lists

Attlock lets you maintain standing visitor access lists for your sites — a step beyond one-time visitor pre-registration. Access lists are ideal for contractors, regular vendors, delivery personnel, or any individual who visits your site on a recurring basis. Guards can verify access list members quickly at the gate without requiring a new pre-registration each time.

Access Lists vs. One-Time Pre-Registration

Attlock supports two visitor management approaches:

  • One-time pre-registration — you register a specific visitor for a specific date and time window. Best for guests, job candidates, or infrequent visitors.
  • Access lists — a standing list of approved individuals who can enter your site during defined hours without a per-visit registration. Best for regular contractors, cleaning crews, or delivery drivers.

Where to Find Access Lists

  1. Log in to the Attlock client portal.
  2. Go to Sites and select the site you want to manage.
  3. Click the Access Lists tab.

Each site has its own access lists, so you can have different approved individuals at different locations.

Creating an Access List

Click New Access List and give it a name that describes the group — for example, "Cleaning Crew", "IT Contractors", or "Regular Vendors". Then configure:

  • Access hours — the days and times this list is valid (e.g., Monday–Friday, 8:00 AM–6:00 PM)
  • Expiry date — optionally set a date when the list expires automatically
  • Access areas — if your site has restricted zones, specify which areas list members can enter

Adding Individuals to an Access List

Once the list is created, click Add Member and enter:

  • Full name
  • Company or organisation (optional)
  • ID type and number (e.g., driver's licence, employee badge)
  • Photo (optional but recommended — guards can verify identity visually)
  • Vehicle details (optional — useful for parking or vehicle access control)

You can add as many members as needed. There's no limit per list.

Editing and Removing Members

To update a member's details, click their name in the list and select Edit. To remove someone from the list, click Remove. Removed members will no longer be recognised as approved visitors at the gate.

If you need to temporarily suspend a member's access without removing them permanently, use the Suspend option — their record is retained but guards will be prompted to deny entry.

Setting List Expiry and Renewals

For time-limited contracts (e.g., a construction crew working on-site for three months), set an expiry date when creating the list. Attlock will notify you 7 days before the list expires so you can renew or let it lapse. Expired lists are archived and can be reactivated if needed.

How Guards Use Access Lists

When a visitor arrives, the guard checks them against the access list in the Attlock mobile app. If the visitor's name and ID match an active list entry, the guard can check them in with a single tap. The check-in is logged automatically, giving you a full record of every access list entry and exit.

Viewing Access History

To see a log of all access list check-ins for a site, go to the Access Lists tab and click View History. You can filter by list, individual, or date range and export the log as a CSV or PDF.
