Approving or Rejecting Guard Shift Changes

Attlock gives clients the ability to review and approve guard shift changes before they take effect. This feature ensures you always know who is scheduled at your sites and gives you a say when your security provider proposes substitutions or schedule adjustments.

How Shift Change Approvals Work

When your security provider schedules a change to a guard's shift — such as replacing a guard, adjusting shift hours, or adding a new position — Attlock can notify you and hold the change pending your approval. This setting is configured per site and can be enabled or disabled by your security provider based on your contract terms.

If shift approval is enabled for your site, you'll receive a notification whenever a change is proposed.

Finding Pending Shift Change Requests

To view pending shift change requests:

  1. Log in to the Attlock client portal.
  2. Go to Schedule in the left navigation menu.
  3. Click the Pending Approvals tab at the top of the schedule view.

You'll see a list of all proposed changes, each showing:

  • The affected site and shift time
  • The original guard assignment
  • The proposed change (new guard, adjusted hours, or new position)
  • The reason provided by your security provider
  • The deadline for your response

Approving a Shift Change

To approve a proposed change:

  1. Click on the shift change request to open the detail view.
  2. Review the proposed guard's name, certification status, and any notes from your provider.
  3. Click Approve.
  4. Optionally add a comment for your records.

Once approved, the schedule updates immediately and the assigned guard is notified.

Rejecting a Shift Change

If you're not comfortable with a proposed change:

  1. Open the shift change request.
  2. Click Reject.
  3. Select a reason from the dropdown (e.g., guard not approved for this site, timing conflict, insufficient notice).
  4. Add any additional comments to help your provider understand your concern.

Your security provider will be notified of the rejection and will need to propose an alternative.

Setting a Response Deadline

Shift change requests have a default response window (typically 24 hours). If you don't respond within the deadline, the change may be auto-approved or auto-rejected depending on your site's configuration. Check with your security provider to understand the default behaviour for your account.

Approved Guard Lists

For sites with strict access requirements, you can maintain an Approved Guard List — only guards on this list can be assigned to your site without additional approval. To manage your approved guard list, go to Sites, select the site, and click Approved Guards.

Any shift change proposing a guard not on the approved list will automatically require your explicit approval, regardless of other settings.

Notifications for Shift Changes

To make sure you never miss a shift change request, go to Notification Settings and enable Shift Change Requests. You can choose to receive alerts via email, push notification, or both. Setting up email notifications is especially useful if you don't check the portal daily.
